How to benefit from private projects

 

Private Projects is designed as a combined early warning private project monitoring system.

 

Each individual user will interact at a different point in the project cycle. Listed below are some indications how various client groups can interact with and benefit from Private Projects.

 

Some general notes

 

The key to successfully using this service lies in actively using the information and features provided to it's fullest potential. The Private Projects system should be seen as part of the overall marketing and/or sales strategy.

 

Our most successful Clients are those that:

integrate our system into their own and follow up on the information provided;
use the system to open channels of communication and build relationships around specific projects.

 

     There will be some disappointments but most successes depend on the number of

      working relationships you can establish, utilising the service.

 

1. The Client

 

By creating awareness of a project and making the details available to targeted service and product providers, the Client ensures that the latest in service excellence, technology and products are available for the project. Competition between providers results in competitive pricing and improved delivery. 

 

2. Built Environment Professionals

 

Professionals will want to start as early as possible, i.e. during the conceptual and/or procedural stages. Typically professionals are appointed at these junctures. When projects are listed they are typically listed with the status of the professionals listed as "Unknown", "No Details" or "Details Pending".

 

Clients are advised to log into these projects and follow the updates. As the project details are updated where:

professionals have not been appointed this will be specifically noted,
where professionals are actively being looked for this will be noted, and
where they have been appointed the relevant details will be noted.

 

3. Manufacturers & Suppliers of branded products

 

Manufacturers & Suppliers will want their representatives to interact with the relevant specifiers as early as possible.

Log into the project on first listing and follow until the relevant details are available. Depending on the project and product types this could be the Client, Architect or Quantity Surveyor. The user should know who is likely to specify the product and should act accordingly.
The user's can distribute projects to sales staff either by professional or geographic location. Once the confidence of the project professional is won, they often require the user to provide a product catalogue that can be used on other projects. (Users should be careful not to send multiple product specifications to the same specifier for different projects as this could lead to irritation.)
Monitoring the project via the PMS (Project Monitoring System) will enable the user to identify the bidders and promote his products and prices, after the opportunity to specify products at project design stage have passed.
The user should follow up and persist in negotiations to ensure that the appointed contractor utilises his products in the project.

 

4. Manufacturers & Suppliers of generic products

 

Manufacturers and Suppliers of generic products will want to wait until the project is:-

a)ready to go out to tender.
b)to a list of bidders.
c)the tender is awarded.

 

Log in early, make initial contact to get on the radar and do some planning, and then monitor until the appropriate time. 
Users are advised to obtain definitive timings from the project professionals directly and in so doing build up relationships with the professionals.

 

Be aware that there are occasions when bidders will not be made available openly and in these situations a personal relationship with the professional could allow a 'one on one' transfer of information.

 

5. Main Contractors

 

Main contractors typically endeavour to get onto the invited tender list; however, early contact with a client or professional team may put the contractor in a position to negotiate directly, especially if the contractor offers financial incentives or some form of differentiator.

Log in early from the Private Project Advisory (PPA) and monitor until the appropriate time.

 

6. Sub Contractors

 

Monitoring of projects allows sub contractors to get to the main contractor as early as possible. Where branded sub contractors are sole suppliers of branded products they can work with manufacturers and suppliers to secure work at competitive rates.

 

7. Specialist Services

 

7.1 Plant & Tool Hire

 

Contractors and Civil Engineers should be contacted.

 

7.2 Landscaping

 

Our client should contact the Client / Architect / Project Manager for a specific project in instances where landscaping is done externally. Additionally the contractors will provide details of tenants or homeowner's details for future contracts.

 

7.3 Pest Control and Cleaning Services

 

Pest control companies should contact contractors when demolition is necessitated during site development stage (for pest control certificate). Once construction is complete the facilities management company, who will eventually manage the property, will be responsible for concluding agreements/contracts with service suppliers (pest control, hygiene and cleaning services). Individual tenants should also be approached to secure maintenance contracts.

 

7.4 Security

 

Guarding Services – The contract would be entered into by either the Client or appointed contractor (this would occur pre or post construction).

 

Installation of CCTV cameras – The Quantity Surveyor or electrical engineer would be responsible for making provision in regards to equipment's inclusion in the design. Our clients should therefore be liasing with these professionals during the design stage.

 

7.5 IT & Telecom

 

Clients for maintenance contracts: Tenants details may be sourced from the contractor.

 

7.6 Demolition

 

Our client should contact the Project Manager / Consultant, this should be done at pre-tender stage.

 

7.7 Fire Protection

 

Specify with Architect (follow the same procedure as manufacturers) (sprinkler / gas). The client should liase with the contractor for provision of the initial safety equipment and follow through on what has been specified.
